In a private school the data almost never sits in one place. Attendance is in a paper register, payments live in the accountant’s spreadsheet, parent conversations are on the secretary’s phone, and teacher workload is in the head of studies’ notebook. When the principal asks a simple question — how much money came in this month and how much debt is outstanding — it takes three phone calls and half a day to answer.

A school management system closes that gap: data is entered once and reads the same across every department. What a school management system is and what it solves

A school management system unifies a school’s academic, financial and administrative processes in a single database. It differs from a digital register in scope: a register records grades and attendance, while a management system connects that same attendance to the cash desk, the contract balance, the parent’s phone and the principal’s report.

In practice: a teacher marks a student absent, the parent gets a notification, the attendance rate is recalculated, a task lands with the class teacher, and at the end of the month that figure appears in the principal’s report on its own. Nobody enters the same thing twice.

Systems like this go by several names — school ERP, school CRM, learning centre software or digital school platform. The label matters less than the substance: every process in the school runs on a single database.

Digital register, timetable and the academic process

The register is the heart of the system. A teacher opens the lesson and records attendance and grades; an absence without a stated reason simply will not save, so the “why were they away” question is settled on the spot rather than a week later. Grades accumulate by quarter and season, and subject performance is calculated automatically.

The timetable is validated: you cannot schedule a busy teacher or an occupied room, and moving a lesson surfaces the conflict immediately. The head of studies sees teacher workload by the hour — who taught how much, and how and when they filled in the register.

Attendance: turnstiles and face recognition

Attendance can come from two sources: the register or the turnstile. Devices (Hikvision and similar) connect to the panel, and student and staff faces are pushed to the device through bulk synchronisation. The moment a student passes the turnstile, entry and exit times are recorded.

Choose the turnstile as the attendance source and the register fills itself — no manual roll call. Late arrivals, early departures and violations are collected into a separate report, and the parent receives an automatic SMS or app notification.

Finance: cash desk, contract payments and debt

The finance module starts at the cash desk: income, expenses, inter-branch transfers, currency exchange and cancellations — every operation recorded with its source and the person responsible. Contract payments run through subscriptions and payment plans, and a month-by-month pivot shows exactly how much each student still owes and when.

Payments arrive through Payme, Click, Atmos and Multicard, and are attached to the right student’s balance the moment they land, closing the debt. Collections run as their own process: every contract has an assigned staff member and an agreed payment date, with reminder SMS going out automatically via Eskiz.uz or PlayMobile.

Talking to parents

The secretary’s phone rarely stops ringing with the same three questions: did my child arrive, what were the grades, how much is still owed. The EduSchool Parent app (iOS and Android) lets parents answer all of them themselves — entry and exit times, daily grades, the timetable, the contract balance and payment history are all in the app.

Payment via Payme or Click happens without leaving the app. So does real-time chat with a school moderator, file sharing, announcements and surveys. Parents who do not open the app still receive automatic SMS on important events, so the channel never loses anyone.

Roles, branches and permissions

One system, but each employee only sees their own screen. Permissions are granted through a role builder: any combination of roughly 300 atomic permissions, an unlimited number of custom roles — and all of it scoped per branch.

In a multi-branch network each branch has its own cash desk, turnstiles and staff, while the principal sees the consolidated picture on one screen. Adding a branch does not change the process — the reports simply gain another breakdown.

Reports and analytics

The system ships with 14+ ready reports: performance, attendance, turnstile logs, debt, branch status, teacher workload, cash turnover and more. Each exports to Excel in one click, so nothing has to be assembled by hand at month end.

The one principals use most is the branch status report: every branch compared in a single table, making it immediately clear who is falling behind and where.

Frequently asked questions

Do we have to re-enter our existing data by hand?
No. Students, teachers, classes and current balances are migrated from your Excel files free of charge. It usually takes no more than a day.
Does the system work without turnstiles?
Yes. Register-based attendance is fully functional. If turnstiles are added later, switching the attendance source is a single setting.
Can several branches run in one account?
Yes. Each branch has its own cash desk, staff and turnstiles, permissions are scoped per branch, and reports are available both individually and consolidated.
Is the parent app charged separately?
No. The parent mobile app is included in the school’s plan; there is no extra charge per student.
Where is the data stored?
Data is held on secured servers with each school’s data isolated. A dedicated server is available on the Enterprise plan.
