When people think about CRM for a school they usually picture the academic process. In reality the weakest point sits earlier — in admissions. A parent messages on Instagram, then calls, then visits, then gets forgotten. Neither how many enquired nor how many became students is recorded anywhere.

How an education CRM differs from a general one
General CRMs (amoCRM, Bitrix and others) were built for sales: lead, deal, amount. They work for a school too, but they stop where the funnel ends — once the contract is signed, the student is copied into another system by hand.

Leads and enquiries
Every enquiry is a card: who got in touch, through which channel and when, the child’s age and the programme of interest. An owner is attached and a next-step date is set, so “I’ll call them back later” stops being a state anything can sit in.
Statuses are configured to the school’s own process: new enquiry, called, booked for a trial, attended, contract signed, declined. How many leads sit at each stage is visible in the funnel.
Telephony: every call is recorded
OnlinePBX and similar telephony services connect: an incoming call attaches to the lead card automatically and the recording is stored with it.
That solves two problems. First, oversight: you can hear how the manager spoke to the parent. Second, lost calls: a missed call also creates a card, so it does not simply disappear.
The admissions process
Admissions is its own process: application, documents, a trial lesson or entrance test, the result, the contract. Each stage is marked in the system, so “where are this child’s documents” never comes up.
When admission completes, the student is assigned to a class automatically, a contract and payment plan are created, and the parent gets access to the mobile app. Everything is in place from day one.

Working with existing students
The CRM is not only for new leads. Tasks run against current students too: if a student is absent for N days, a task lands with the class teacher automatically; when debt appears, with the responsible staff member.
Parent chat, surveys and announcements sit in the same loop: every point of contact with the school stays in one system, with its history preserved.
What becomes measurable
The number that matters most is conversion: how many of a hundred enquiries reach a contract. Without it, planning a marketing budget is guesswork.
The second breakdown is source: Instagram, referral, outdoor advertising or word of mouth. Once you can see which channel brings a student in cheaper, the budget tells you where it should go. The third is by owner: who closes more, and who needs help.
The trial lesson — the funnel’s decisive stage
In most schools the lead is lost precisely after being booked for a trial lesson: who turned up, who did not, and who called the no-shows back is recorded nowhere. Yet this is the stage that determines conversion — a parent who reaches the trial lesson reaches a contract several times more often.
In the system the trial lesson is its own stage: a date is set, a teacher is assigned, attendance is recorded. A no-show lead returns to the owner’s task list automatically, so it does not quietly get forgotten.
