School finance and contract debt control
From the cash desk to P&L: income, expenses, contract payments, debt and payroll in one system. On any day of the month the principal sees net profit and exactly who owes what.
In a private school, finance usually lives in two places: the cash book and the accountant’s spreadsheet. Contract payments live in a third — the receipts. As a result, answering “how much came in this month” means reconciling three files, and the debtor list is always a week out of date.
The EduSchool finance module turns those three places into one process: every som is recorded with its source, date and owner, contract debt sits on the student’s record, and reports assemble in real time. Here is what the module covers.
Cash desk and transactions
The cash desk is the entry point for all money movement. Income, expenses, inter-branch transfers, currency exchange and reversals are all recorded as transactions. Each branch keeps its own cash desk, with the daily balance shown separately.
A reversed operation does not disappear — it stays in history, and it is visible who reversed it. For accounting that matters: every correction leaves a trace.
- Payment types and methods are configurable (cash, card, transfer, online)
- Inter-branch transfers are recorded on both sides
- Daily cash balance and a top-5 breakdown
- Every transaction names the responsible staff member
Contract payments and payment plans
On admission a student is linked to a contract and a payment plan: the annual amount, the instalment schedule, discounts and concessions. The system calculates the expected amount for each month, and an incoming payment closes the matching month.
Discounts are tracked separately — sibling discounts, social concessions or one-off promotions. The principal sees the total value of discounts as its own report, so “how much went out in discounts” never stays an open question.
Debt: a month-by-month pivot
The main problem with debt is not seeing it. In EduSchool a single pivot shows, for every student, how much is outstanding in which month: rows are students, columns are months. One glance shows who has not paid for three months.
Collections run as their own process. Each contract has an assigned staff member and an agreed payment date; every call and arrangement is written to the history. The status is visible at once: agreed, called, overdue.
- Automatic SMS reminders — threshold and cadence configurable
- Debt report broken down by the responsible staff member
- Action history: who did what, and when
- Wired to the turnstile: a student above the threshold is stopped
Online payments
Parents pay without leaving the EduSchool Parent app: Payme, Click, Atmos or Multicard. Incoming money attaches to the student’s balance automatically and closes the right month’s debt — no manual entry by a cashier.
That buys two things: payments arrive faster (no trip to the cash desk) and human error disappears — it is always clear whose account the money landed on.
Payroll, bonuses and penalties
Staff follow the same logic: every accrual is recorded as a transaction. A teacher’s pay can be calculated from lessons actually taught — register data feeds the calculation directly.
Bonuses and penalties are tracked as their own types, and an employee’s current balance is always visible. At month end the payroll sheet is ready without manual assembly.
P&L, cashflow and reports
The finance module resolves into two reports: P&L and cashflow. Both are ready on any day of the month, because they assemble from transactions in real time.
Across a branch network, reports are available both individually and consolidated. Every financial report exports to Excel in one click, and the receipt template is configured with your school’s details.
Finance across multiple branches
Finance is the first thing that gets tangled when a second branch opens: each branch keeps its own cash desk, money moves between them, and nobody sees the combined profit. In EduSchool each branch runs its own cash desk, inter-branch transfers are recorded on both sides, and the consolidated P&L is calculated automatically.
Permissions are scoped per branch too: a branch accountant sees only their own numbers, the chief accountant sees everything. The breakdown principals find most useful is the branch comparison in a single table: which branch turns a profit, where debt is growing.
- A separate cash desk and daily balance per branch
- Inter-branch transfers recorded as transactions on both sides
- P&L and cashflow, consolidated and per branch
- Permissions bound to a branch — other branches’ figures stay hidden
Which report answers which question
| Question | Report |

| Who is working the debt? | Debt report by responsible staff member |

Frequently asked questions
- Can existing debt data be migrated?
- Yes. Current balances and payment history are migrated from your Excel files — from day one on the system the debtor list reads correctly.
- Which payment systems are supported?
- Payme, Click, Atmos and Multicard. Money attaches to the right student’s balance the moment it lands and closes the debt.
- How are SMS reminders sent?
- Through Eskiz.uz or PlayMobile. The reminder threshold (for example three days before the due date) and the message text are configurable, and sent messages are kept in history.
- Do the accountant and the cashier see the same data?
- No, access is separated through the role builder. A cashier can be limited to their own cash desk while the accountant sees the whole picture — and this works per branch too.
- Can receipts be printed?
- Yes, the receipt template is configured with the school’s details and can be printed after every payment.
